Full feature list
Six groups, in the order of the work: bring clients in, run the schedule, get paid, manage people, remind them to come, and see the business.
Clients find you
The site, the app, and how a new client signs up.
- Minisite
- Edit the business site: text, images, and section order, and see the result before it goes live. The theme you can publish today is Classic. When a client saves the site to their home screen, they see your icon.
- Branded app
- Set the name, colors, graphics, and store listing text, and choose what appears on the home screen. See whether the app is in setup, in review, declined, or live. Once it is live there is a link to the App Store and to Google Play. This opens only on a plan that includes an app.
- Languages
- The website and the app are fully in Hebrew, English, and Arabic, including right-to-left layout. The client switches language themselves. Text you write for the home page stays in the language you wrote it in. The default language also sets the language of outgoing messages, and the management screens use the same three languages.
- Sign up and sign in
- A new client enters their name, phone, and email, picks a plan, and pays. Next time they sign in with a one-time code by SMS or WhatsApp. Until the email is confirmed, a notice with a link stays up. If you require terms, they accept the studio terms and the Tikitaka terms before they continue.
- Home page
- Before sign-in, visitors see a headline and image, services, about, a gallery, testimonials, plans with prices, training types, upcoming classes, trainers, and contact details. Each block can be edited or hidden. The minisite also has a full schedule page.
- Business details and hours
- Name, logo, email, phone, address, map, directions, website, Instagram, and WhatsApp. Set opening hours for each day, and choose whether clients see them. Booking still follows those hours when they are hidden.
The schedule
Classes, booking, and what the trainer sees.
- Calendar
- Create a class, move it, and change the trainer or the time. A class can also repeat. For each class you set how many seats there are, whether there is a waitlist, which branch, and what time. Training types are the categories clients book. After you save, clients can see the class.
- Booking and the waitlist
- A client takes a seat if they have a ticket pack or an active period plan. When the class is full they join the waitlist, and move up if a seat opens. On the class you see who is booked and who is waiting. You can remove someone and promote someone from the waitlist.
- Equipment
- If a class needs equipment, such as a shoe size, the client chooses it before the seat is saved. If that equipment is already taken, the seat is not saved. The choice shows on the participant list.
- Cancellation
- Set how long before the class a client can no longer cancel, and the window in which a cancellation still uses an entry from the ticket pack. The client cancels under those rules.
- What the trainer sees
- A trainer signs in with their phone and lands on the calendar. They see the classes and who is booked, including equipment. They cannot create, move, or edit a class, take payment, or send messages. You can limit them to the classes they teach. If you turn attendance marking on, you and the trainer can mark who booked and did not come.
Membership and money
Plans, ticket packs, charges, and invoices.
- Period plan
- A plan for a number of months. You can cap how many classes are allowed per week, and how many of each training type.
- Ticket pack
- A fixed number of entries, with an expiry date if you want one. The client sees how many are left and which classes already used one.
- Buying and renewal
- At sign-up they pick a public plan and pay, or finish payment later. They can buy another plan on the same account, turn auto-renew on or off, and renew when the plan ends, including from a link in email.
- Changing a plan
- A client can switch a period plan now, or only at the end of the period, and can cancel a switch that has not started. You decide whether “now” is always allowed, only after a waiting period, or not at all. Staff can switch a plan even when the client cannot.
- Freezing a membership
- You decide whether a freeze is allowed, whether it is approved automatically or only by you, for how many days, and how many times a year. Requests land on one screen: approve, decline, stop, or open a freeze for a client. The menu shows how many are waiting.
- Saved card
- The client adds, replaces, or removes a card. The saved card is used to renew a plan and to charge at the point of sale.
- Point of sale
- You also sell things? Want to charge a client once for a service, food, or equipment? The point of sale covers that, on top of plans and ticket packs. The charge comes from the client’s saved card. You can save a product and a price once and pick it again on the next charge.
- Invoices
- After a charge you can open the invoice and issue a credit note. The client sees their own invoices. The tax id and business type are entered once and appear on the documents. If you connect Morning, tax invoices and credit notes are issued there.
People
Clients, trainers, branches, and what the staff can open.
- Client record
- Create a client, update their details, and assign a branch. The record shows details, billing, signed documents, and class history: came, cancelled, or did not come. The client sees their name, phone, and email, and can change the email. In the app they add a photo.
- Trainers
- Add a trainer with a photo, assign branches, and deactivate or delete them. When you delete a trainer you can move their classes to another trainer. The plan sets how many trainers can be active. At the cap you cannot add another.
- Branches
- More than one location, each with an address. Clients, trainers, plans, and classes can be limited to a branch.
- Staff access
- Add more users and give each one access to clients, plans, the calendar, invoices, messages, or settings. One switch grants every permission, including managing other admins.
- Documents
- Upload a PDF, place fields on it, and set when the signature expires. The client fills it in and signs with a code sent to their phone. The file is kept for them and for you. A form can be sent automatically at sign-up, and only for a certain age or branch. If the document is required, they cannot book a class until they sign.
- Nutrition
- Build a meal plan from a food library, set targets, save a template, and publish an active plan. The client can view it. The module opens only on plans that include it.
- The client’s account
- In the app they open the terms and privacy policy, set notifications in the phone settings, request account deletion, and report the business. The open-source license list is there too. The site offers to save itself to the home screen. They sign out on that device.
They show up
Messages that go out by the rules you set, and messages you send yourself.
- Advanced reminders and messages
- Want a client to get a birthday greeting, a note when they sign up, and a reminder when their plan expires? The same for someone who booked and did not show up, and for an early class: a class before 10:00 in the morning can get its reminder at 20:00 the evening before. As many rules as you need, on any channel: SMS, WhatsApp, a phone notification, or email. The possibilities are unlimited: you build the rule, and the system sends it.
- Messages
- Send a message to everyone booked on a class, on the same channels: SMS, WhatsApp, a phone notification, or email.
- Inbox
- Mail clients send to the business is read inside the system. The menu shows how many messages are still unopened.
You see the business
The reports, the connections, the money that reaches you, and your account with Tikitaka.
- Reports
- One screen shows income, active and new clients, plans, payments and refunds, attendance by training type and trainer, ticket use, how many messages were sent and how many failed, how many people opened the site and the app, and what is expected to reach the bank. You pick a period: a day, a week, a month, or a date range.
- Integrations
- Connect Morning (Green Invoice) so tax invoices and credit notes are issued there after each charge. You can also connect Claude, Grok, or ChatGPT to the business, and choose what they may read and change. You can disconnect at any time.
- Payouts
- Money collected from clients is transferred once a month or twice a month, as you choose. You see past transfers and can download a declaration file.
- PCN874 export
- Download the PCN874 books file for the tax authority, and the matching PDF reports.
- Your Tikitaka plan
- The business plan, when it renews, and the invoices Tikitaka issued to you.
- Miss Tiki
- An assistant inside the system, for the management team. You ask about the business and get an answer. Trainers do not see her, and the decision stays with you.
- Currency and clock
- The currency: shekel, dollar, or euro. The time zone sets the calendar, the reminders, and billing. Daylight saving time is updated for you.
